CorpsAfrica, a non-profit organization founded in 2011 by former Peace Corps Volunteer Liz Fanning, is recruiting an Executive Assistant to provide administrative support to its Country Director in Uganda. The successful candidate will be responsible for managing the Director's schedule, coordinating travel arrangements, and handling communication. CorpsAfrica adapts the Peace Corps model by recruiting university-educated African youth to live and serve in high-poverty rural communities for up to one year.
The Executive Assistant will play a crucial role in ensuring the smooth operation of the Uganda office. Key duties include maintaining accurate records, preparing meeting notes and reports, and assisting with event planning. The successful candidate will also be responsible for coordinating logistics, including travel and accommodation arrangements for staff and visitors. Additionally, they will provide IT support, manage office supplies, and maintain vehicle and asset records.
The ideal candidate will have a bachelor's degree in Business Administration, Finance, Human Resource Management, or a related field. A minimum of three years of professional experience in administrative or operations support, preferably in an NGO or development setting, is also required. The successful candidate will have working knowledge of procurement procedures, logistics coordination, and basic financial documentation.
The Executive Assistant will need to possess excellent organizational and multitasking skills, with attention to detail and the ability to manage concurrent multiple assignments and meet tight deadlines. Strong written and verbal communication abilities are also essential, as well as demonstrated integrity, confidentiality, and professionalism in handling sensitive information. Proficiency in Microsoft Office, Google Workspace, and basic IT troubleshooting is also required.
The successful candidate will be responsible for providing support to the Accounts Officer, including preparing payment requests, quotations, and procurement documentation. They will also track supplier deliveries, maintain a register of purchase orders and invoices, and coordinate travel and accommodation logistics for staff and visitors. Additionally, they will liaise with vendors and service providers to ensure timely invoicing and payments.
