The World Food Programme (WFP), the world's largest humanitarian agency, is seeking a qualified individual to fill the position of Management Services Associate (Protocol) in its Kampala, Uganda office. The successful candidate will play a critical role in supporting the Senior Management by managing diplomatic, administrative, and government liaison functions. This position requires strong coordination, communication, and organizational skills to facilitate strategic relationships between WFP Uganda and key government institutions.
The Management Services Associate (Protocol) will serve as the focal point for high-level engagements with government counterparts, diplomatic missions, UN agencies, development partners, and other stakeholders. The incumbent will ensure that all official interactions, missions, and events are conducted in accordance with established diplomatic protocols and organizational standards. This includes coordinating and scheduling high-level meetings involving senior WFP leadership, government officials, ambassadors, heads of UN agencies, donors, and other key stakeholders.
The position requires providing comprehensive executive and administrative support to the Country Director, including managing the calendar, appointments, correspondence, travel, and official engagements. The successful candidate will also prepare briefing materials, talking points, protocol notes, correspondence, and other documentation required for executive meetings, missions, and official engagements. Additionally, the Management Services Associate (Protocol) will plan, coordinate, and support high-level conferences, workshops, donor visits, official ceremonies, VIP delegations, and other strategic events involving WFP.
The WFP is looking for a candidate with at least six years of experience with a secondary school certificate or a University degree (Bachelor's) with a minimum of three or more years of proven experience in Business Administration and Protocol. The ideal candidate will have robust knowledge of diplomatic protocol, official etiquette, and protocol practices applicable to government, diplomatic, United Nations, and high-level engagements. Sound knowledge of Uganda Government structures and procedures is also essential.
The Management Services Associate (Protocol) will be responsible for organizing protocol and logistical arrangements for official missions, field visits, and visits by senior government officials, donors, headquarters missions, and other dignitaries. The incumbent will also coordinate official travel and mission support for the Country Director and senior management, ensuring compliance with WFP policies and diplomatic protocol requirements. Furthermore, the successful candidate will monitor and process actions related to procurement, finance, human resources, and other relevant areas.
The WFP requires the Management Services Associate (Protocol) to maintain accurate records, databases, contact lists, and reports related to protocol activities, government liaison, missions, stakeholder engagements, and official correspondence. The incumbent will also ensure timely follow-up on action points, maintain confidentiality in handling sensitive information, and contribute to the continuous improvement of administrative and protocol processes within the Country Office.
