Opportunity Bank Uganda Ltd (OBUL), a member of Opportunity International, is seeking an experienced Administration Supervisor to join its team in Kampala, Uganda. The successful candidate will be responsible for overseeing and coordinating the Bank's administrative operations, including facilities and premises, fleet, physical security coordination, records and archives, office support services, and administration-related service providers. This role ensures a safe, functional, efficient, and professional working environment across the Head Office and branch network.
The Administration Supervisor will play a key role in ensuring the smooth operation of the Bank's administrative functions. This includes supervising front desk operations, reception staff, and visitor handling protocols to ensure compliance with customer service standards. The successful candidate will also oversee telephone switchboards, central mailboxes, incoming/outgoing correspondence, and the official bid submission intake and handover processes.
The Administration Supervisor will be responsible for managing logistics and dispatch, including directing and monitoring incoming and outgoing courier and postal operations. They will also track administration vendor performance, prepare monthly usage and reconciliation reports, and allocate dispatches to messengers and drivers. Additionally, they will manage stock levels, storage, and quarterly replenishment of stationery and office consumables for the Head Office and branch networks.
The successful candidate will also be responsible for providing administrative support, including receiving, registering, and routing logistics, administrative, maintenance, and utility invoices to appropriate units for timely processing and payment. They will also provide secretarial support by drafting departmental meeting minutes and monitoring action items. The Administration Supervisor will assist the manager in drafting Local Purchase Orders (LPOs), managing fleet logs, and inspecting procurement deliveries as assigned.
The Administration Supervisor will play a critical role in ensuring the Bank's assets are properly managed. This includes supervising the maintenance and upkeep of Head Office and branch premises, equipment, and building systems. They will ensure preventive and corrective maintenance requirements are appropriately planned, tracked, and resolved within agreed timelines. The successful candidate will also supervise all maintenance works and monitor the performance of facilities management vendors, cleaning service providers, and maintenance contractors.
The Administration Supervisor will be responsible for overseeing physical security operations across premises, including contracted security guards, alarm systems, and Cash-in-Transit (C.I.T.) arrangements. They will implement and monitor security procedures to ensure safe access control for staff, visitors, and contractors. The successful candidate will also serve as the Fire Safety contact point by inspecting fire safety equipment, promoting emergency awareness, and maintaining building evacuation readiness.
The successful candidate will be required to provide overall supervision and leadership of staff that report directly to them. They will also supervise service providers under their direct responsibilities and others assigned by their line manager.
