FINKAP, a global provider of expertise, is seeking a highly organised and proactive Executive Assistant to support the Head of FinKap Mission in Zambia. The successful candidate will provide high-level administrative, coordination, and operational support to the Head of Mission. This role requires excellent organisational skills, sound judgement, and strong communication abilities. The Executive Assistant will serve as a key point of coordination within the Mission, supporting the Head of Mission in managing priorities, schedules, and stakeholder engagements.
The Executive Assistant will be responsible for providing comprehensive administrative and organisational support to the Head of Mission. This includes managing and coordinating the Head of Mission's calendar, appointments, and meetings, as well as preparing schedules, briefing materials, and other documents. The successful candidate will also screen, organise, and follow up on correspondence and requests addressed to the Head of Mission, maintaining an effective filing and document management system for Mission-related records.
In addition to administrative support, the Executive Assistant will coordinate engagements with government ministries, development partners, UN agencies, and other stakeholders. This includes assisting in organising official meetings, workshops, and events, as well as liaising with internal and external stakeholders on behalf of the Head of Mission. The successful candidate will also maintain up-to-date contact lists and stakeholder information, supporting the preparation and coordination of official visits and missions.
The Executive Assistant will be responsible for drafting, formatting, and proofreading official letters, emails, and other correspondence. This includes ensuring that communication from the Office of the Head of Mission is clear, accurate, and professional. The successful candidate will also maintain confidentiality of sensitive correspondence and information, supporting the preparation of presentations and other communication materials.
The role of Executive Assistant will also involve meeting and event management, including coordinating logistics for meetings chaired or attended by the Head of Mission. This includes preparing meeting rooms, agendas, and participant lists, as well as taking accurate minutes and maintaining action-point registers. The successful candidate will also support the organisation of high-level events, workshops, and official engagements.
To qualify for this role, candidates should have a Bachelor's degree in Business Administration, Public Administration, or a related field. At least 3-5 years of relevant professional experience in executive assistance, administration, or a related field is also required. Demonstrated experience providing administrative or executive support to senior management is an advantage, as is experience working with international organisations, government institutions, or diplomatic missions.
The successful candidate will demonstrate excellent organisational skills, professionalism, and discretion, particularly when handling confidential information. Strong communication and interpersonal skills, as well as the ability to work independently and manage multiple priorities, are also essential. The salary for this position ranges from ZMW 60k to ZMW 80k per month, and the role is based in Lusaka, Zambia.
