For accommodation services, bidders must offer clean, secure, and well-maintained accommodations with various room options, including executive, standard single, and double/twin rooms. The accommodations must have functional bathrooms, reliable water and electricity, clean linen and towels, housekeeping, and appropriate guest security. Bidders must state the availability of Wi-Fi, parking, accessibility arrangements, and other relevant amenities. They must also provide separate rates per room per night for different meal plans.
The RFQ also requires bidders to provide conference facilities and related services in Chipata, Ndola, and Kitwe. The conference venues must be in good condition and have capacity options for approximately 20-30, 50, and up to 100 participants. Bidders must specify the availability and charges for various equipment and services, such as projectors, screens, PA systems, microphones, Wi-Fi, and power outlets. They must also provide prices for drinking water, refreshments, and meals.
Bidders must submit their quotations in Zambian Kwacha (ZMW) and provide itemized rates, including all applicable taxes, levies, fees, exclusions, and additional charges. They must also state the validity period of the quotation and the period for which quoted rates will remain valid. The submission deadline is November 14, 2026, and bidders are encouraged to submit their quotations early.
The evaluation of quotations will be based on Splash's applicable procurement policies and relevant donor requirements. The assessment may consider factors such as completeness and eligibility, compliance with minimum specifications, price and value for money, relevant experience, service quality, availability, safety, and reliability. The lowest-priced quotation may not necessarily be selected.
