The Ministry of Health in Kenya has announced a one-month extension for healthcare facilities to migrate to Digital Health Agency (DHA)-certified Health Management Information Systems (HMIS). The new deadline is November 30, 2026. This decision was made after consultations with the Social Health Authority (SHA) and DHA, taking into account the progress made so far and requests from healthcare providers. The extension aims to give facilities that have not completed the transition additional time to move from the SHA Provider Portal to the certified systems.

According to the Health Cabinet Secretary, Aden Duale, all 6,427 public health facilities in Levels 2 to 4 have successfully migrated, achieving 100 per cent compliance. However, only 22 of the 28 public Level 5 facilities have completed the transition, representing 79 per cent compliance. Additionally, 190 of the 518 faith-based health facilities have migrated, accounting for 37 per cent, while 371 private health facilities have also successfully migrated. The Ministry has warned that access to the SHA Provider Portal will be deactivated on November 30, 2026.

The transition to DHA-certified HMIS is intended to enable healthcare providers to operate through these certified systems. The Ministry has emphasized that facilities that fail to migrate by the deadline risk disruptions in service verification, pre-authorisation, and claims submission and processing. The Digital Health Agency is offering technical assistance to facilities, including system onboarding, integration, troubleshooting, user training, and coordination with HMIS vendors.

Facilities requiring support can contact the Digital Health Agency through its helpdesk email at [email protected] or call the toll-free number 147. The Health Cabinet Secretary has clarified that claims already submitted through the SHA Provider Portal will continue to be processed in accordance with the applicable requirements. This assurance aims to alleviate concerns among healthcare providers about the impact of the transition on their operations.

Healthcare providers that have yet to complete the migration have been urged to use the additional month to finalize the transition and avoid interruptions in services to SHA beneficiaries. The Ministry of Health is working to ensure a smooth transition and minimize disruptions to healthcare services. The extension is seen as a measure to support healthcare providers in adapting to the new system.

The migration to DHA-certified HMIS is part of Kenya's efforts to enhance its healthcare system through digitalization. The new system is expected to improve the management of health information, enhance data accuracy, and facilitate better decision-making in the healthcare sector. The Ministry of Health remains committed to supporting healthcare providers throughout the transition process.

As the deadline approaches, healthcare providers are advised to take advantage of the available technical assistance and support to ensure a seamless transition. The Ministry of Health, in collaboration with the Digital Health Agency, is working to address any challenges that may arise during the transition period. The successful migration of healthcare facilities to DHA-certified HMIS is crucial for the continued delivery of quality healthcare services in Kenya.
