The Admin & Operations Coordinator role is critical to Freshvale's operational efficiency and financial health. The successful candidate will work independently on most tasks while escalating complex issues to the Managing Director. Key responsibilities include administration and compliance, finance, and operations coordination. The role requires a business diploma or equivalent post-secondary qualification and at least 5 years of experience in administrative, finance, or operations roles.
In terms of administration and compliance, the successful candidate will be responsible for daily filing and record-keeping, HR administration, and ensuring regulatory and internal compliance requirements are met. This includes generating professional quotations and invoices for clients, tracking payment status, and following up on outstanding amounts. The candidate must also maintain vendor files, process purchase orders, and track deliveries.
The finance component of the role involves QuickBooks management, recording daily purchases, sales, and expenses, and reconciling accounts. The successful candidate will also prepare monthly/quarterly financial summaries, identify trends or discrepancies, and track seasonal cash flow swings. Additionally, they will maintain customer invoices and payment records.
In operations and coordination, the Admin & Operations Coordinator will coordinate with Nursery, Crops, and Maintenance/Logistics supervisors to collect and organize inventory data. They will also coordinate scheduling across teams, ensure compliance with operational policies and safety standards, and serve as a communication hub between supervisory teams and the Managing Director.
The successful candidate must possess advanced Excel skills, a valid driver's license with at least 2 years of driving experience, and proficiency in QuickBooks. Strong organizational and attention to detail skills, excellent written and verbal communication, and experience in customer service roles are also essential. Familiarity with Zambian employment law and tax requirements is an advantage.
